FLAVA's Fall Conference, Rooted in Language, will be held October 9-11, 2025 at the Norfolk Waterside Marriott. Please use this link to register for your hotel room by September 17th. 

Exhibitors will be limited to one (1) exhibitor level package per company. The FLAVA Conference exhibitor level packages for 2025 follow:

Embassies/Non-Profits (NP) - 9 spots

• One (1) six-foot (6′) table with two (2) chairs
• Access to one (1) 120V outlet
• Wireless Internet connection
• Option to present one (1) sixty (60) minute session *
• Admittance to educational sessions of the conference
• Maximum of one (1) representative **
• Exhibit space in Hampton Ballroom
• Meal tickets will be provided for 1 representative

Gold (G) 18 spots 

• One (1) six-foot (6′) table with two (2) chairs
• Access to one (1) 120V outlet
• Wireless Internet connection
• Option to present one (1) sixty (60) minute session *
• Admittance to educational sessions of the conference
• Maximum of two (2) representatives **
• Exhibit space in Hampton Ballroom
• Additional table will be provided for $100.00
• Meal tickets will be provided for 2 representatives

Diamond (D) – 8 possible slots

• Two (2) six-foot (6′) tables with four (4) chairs 
• Access to one (1) 120V outlet 
• Wireless Internet connection
• Option to present two (2) sixty (60) minute session *
• Admittance to educational sessions of the conference 
• Maximum of three (3) representatives **
• Exhibit space in the Hampton Ballroom
• Meal tickets will be provided for 3 representatives

* Exhibitors that choose to present one (1) or two (2) sessions are required to fill out the FLAVA Conference Call for Proposals form.

** Any additional representatives must register as a conference attendee.

Additional Exhibitor Registrants' Information

Provide the full names, email addresses, titles, and meal preferences (i.e. no dietary restrictions, vegetarian, vegan, gluten free) of all other individuals who will be joining you from your organization. Do not exceed the number of registrants included with your exhibitor package selected above. All additional registrants over the included number can register here.
